  • Event Registration Cancellation and partial refunds

    For Event Management. I don't see the buttons to cancel or refund an event registration. Is it because I am in test mode? If I cancel a registration, does it leave the registration record and cancel the payment or just delete the payment? If I have a policy that says only a partial refund so far in advance of an event, how do I do that?

    If the Event is in Test Mode you can't refund/credit the transaction but you may delete the test registration which will remove the complete footprint of the record.

      I was hoping to use the test mode installation to write documentation on how to generate a credit. In our Registration pages, we can cancel a registration, leaving the record in place so we can track history with the participant, put notes about why they cancelled, etc. We also have the concept of holding a deposit if they cancel too close to an event, so leave a fee in the event for that penalty. Can C&P do any of that? If not, we need to revise our cancellation/refund policies.

      Is there the concept of a note on a registration or is that something I should add in as a custom field (or link to a custom record)? A note might reflect whether this registration was transferred from an earlier event, that we adjusted the price because they were signed up for an earlier event and moved the registration, that they got the old price (because we raised it after they signed up) or ...,

      For that matter, how do we change prices? In particular, if I have events listed several months out at one price and we decide that the price will go up in 2 months, do I just add more ticket types? do something else?

      We also track whether someone cancelled because of coronavirus.

        As discussed in the call, we cannot do partial refunds. You would issue credit to the entire transaction, then run the partial amount again using the card on file option in Box Office.

        To change prices, we discussed an option on the call to have an additional ticket level that has different Registration Start and End Dates.

        You could add some box office only levels and include a question to add notes.

        Probably the easiest way to manage individual attendee notes would be to add them as 'check-in notes', although you may not want to use that approach if you don't want to confuse anyone that they showed up for the event. Or track them on the Opportunity or campaign. There's lots of ways to do that, it's mostly deciding where that info will be best place for ease of use.
