    Good Afternoon,

    Another quick question from us here at BASIS; are we able to collect pledges, not just donations, through Event Management? We have a campus that would like to run a marathon, in which they collect pledges per lap and then donors later convert the pledge once the total number of run laps has been recorded. Is the best way to do this to set levels all to $0 and name the level something to the effect of "$5 per Lap", or is there a specific way to do this? I am aware that Connect Forms cannot do this, but I was wondering if that limitation extended to Event Management as well.

    Yes, you could create a Ticket Level of $5 per lap, and create a custom payment type of 'Pledge' for the Event.You would probably want to create a Custom Question to ask which runner they are pledging for.
    This essentially collects the information you need to create a pledge, but your staff will still need to manually manage the payment collection..

    Your best option would be to make use of C&P Invoices to send out requests to pay pledges after the event, but I'm going to set up a test to advise you further for your scenario.

      Hi BASIS.ed,

      I've been testing what could be done for using Invoices in your particular scenario. I still think they are the best option, but you may want to practice with them a bit for your implementation. Here's a recommended approach:
      1. Put someone in charge of creating the invoices (for the pledges) once the event is complete. They will note as the event registrations come in, and compile them so that invoices can be issued after the event.
      2. Create a default item in C&P Settings > Virtual Terminal to match your pledge ticket level.
      3. Review C&P Settings > Opportunity and C&P Settings > Custom Mapping to plan what settings you may need to add to support your event reporting after the event.
      4. Review Invoice Settings
      5. Create Invoice Policy - this is where you'll create a default web page that will host the payment form sent to the "Pledgers" and the email they will receive to notify them how much they owe.
      6. Create Test Invoices and work with assigned staff member who will create the invoices once the race is complete. They can enter the number of laps as the quantity for the different invoices issued.

      The benefit of this approach is that you can send custom forms pre-filled with the pledge amount to collect payments and change the information in the communication to accommodate it as a "pledge" process rather than an "invoice". There are some restrictions on the flexibility of invoicing that prevent editing- this is by design to ensure that it is always clear what the terms were at the time of invoicing. Thus the need for some extra practice.

        So, would the invoices still need to be created by a staff member? What they want is to have the donors fill out an electronic form telling them how much they are pledging per lap and then after the race, be told how much they owe.
