  • Matching Registrants to Salesforce

    I granted access.

This order did not match the contact in Salesforce, although the first, last and email look right.

Thanks for posting, Dan, so I could followup after our talk in Live Support. Just adding a note so you know I'm on the case- I'll let you know what I find out.

Thanks, Amanda. We had an event last week that failed to match any contacts. Its name is: Premier Summer Dinner 2018.

        Hi Dan,

I reviewed the 2019 Campaign for Jewish Buffalo Kick-Off Event. It does seem like you were dealing with a "series of unfortunate events", that combined to make for a frustrating experience for you.
It does seem like the reasons why Contacts did not automatically match varied - I suspect that there was a point where Registrant Email was not required, which probably had a large impact on Contact Matching.
I have completed reviewing the Kick-off event, and DID match 5 Temporary Contacts which did look like they SHOULD have matched; however, it's hard to tell if the NPSP 'Personal Email' copy to the 'Email' field was a factor at the time the transaction attempted to match.

But I would like to recommend some tips that I think will make the process easier for you.
        • Many of the sales look like they were custom payments, and I'm not sure if you used the Box Office or the Event Site itself for these - If you use the Box Office, there is a textbox to connect Registrants and Attendees to an 'Existing Patron ' (ie Contact record). This will actually pass the Salesforce Contact Id as a value through the form, so no matching is needed.
        • To avoid too many Temporary Contacts, I suggest that you always keep Email a required field, at least for the Registrations- blank email values on either side will not constitute a match.
        • Matching happens when the transaction is posted - adding information to the Registrant or Attendee after the ticket is sold does not trigger a new attempt to match.
I turned on the "Auto process C&P Temporary Contacts if Contact exists." in C&P Settings > Maintenance. This basically ensures that if you repost a transaction after the matching determinants have changed, that Donor Management will remove any existing Temporary Contacts, and "process" again.

I will now review the Premier Dinner, add the Campaign data needed to create the Opportunity, and will only repost rather manually matching any Temporary Contacts to existing Contacts- so you can get a sense of how matching DOES work, and report on any order that fails to match when it SHOULD have.

          Premier Summer Dinner 2018

Basically these failed to match because no email was entered for any of the Registrant. Perhaps they were entered for the Attendees; however, Temporary Contacts can be created for both- the system does not automatically acknowledge that if an Attendee has an email, and the Registrant has the same name, that the email also applies to the

There are some that are matched to Contacts NOW, because when I updated the Campaign information for you yesterday, I was working under the assumption of that being your only event, so I did assign the Premier Summer Dinner 2018 orders to the Kickoff Campaign, but I have corrected this.

However, you will still need to match the remaining Temporary Contacts, as no email was provided at the time of purchase. I have not seen either further suggestion that the matching is not working properly.

Hi, Amanda. Thanks so much for your help.

I know that email was required on the Kickoff Event. Please verify what I should expect after matching.

            1. The registrations list should have a contact name instead of "Check Temp Contact".
            2. An opportunity should be created for the registered amount. (There has been only two opportunities created for all the matched contacts - one for Sol Messigner and one for Marlene Schillinger)
            3. If paid by credit card there should be a payment created (No matched CC registrations have payments. This org doesn't use the setting that payments should be created upon opportunity creation.)

I received emails of a failure for the upsert of Mark Criden and Elad Levy, both CC registrants, for the absence of a Primary Campaign Source.

            Thanks.

              My apologies for the delay-

              1. After matching, you will have a Contact name instead of 'Check Temp Contact'.
              2. Opportunities are created for each line item of the transaction and its corresponding amount.
              3. I suspect when you ask about 'Payments', you are asking about NPSP payments. Whether or not an NPSP Payment is created will depend on your NPSP Settings, and is completely unrelated to what C&P is doing. NPSP is reacting to the fact that a new Opportunity was created.

              Hope that helps. ~ Amanda

Thanks. I'm comfortable with how everything is working except the fact that I can't have automatic payment creation when an opportunity is posted. I have turned on automatic payments but excluded the opportunity type Donation which is what all our pledges use. How can I control what opportunity types C&P uses to post event registrations and pledges? Currently they are all Donations, so no payments are created. Thanks for your help.
