  • deleting declined payment people from event levels

    I know how to do it, searching for the person and deleting it in Registrations. And I can search on Declined which is good to batch delete. BUT:

    The reason I need to delete them is that they are included in the calculations as to how many spaces are left in a level. In the past when I've done an event, I don't recall having the problem that they are included, but I can't find any place to turn them off...

    As of now, there is no way to delete it in bulk. However, for declined you NO need to worry about inventory as it doesn't consider it as registration and inventory will remain the same.

        Good day @briegull

        We reviewed one of the active Events in your instance and there are 5 declined which it didn't count. May I know the Event name you are referring to?

          Fall 2018. I think I've cleaned them all up now, but put in a trial and see what happens. I'll reverse it if need be.

            Okay, I think I have figured out the problem. Well, there are several, on my end, and one on yours. On my end, we had a bunch of people TRYING to register online who had not done so before. And the THANK YOU FOR YOUR REGISTRATION was not in giant letters, and for some reason they didn't see the top of the thank you screen, so it was a blank page, so they though it hadn't gone through so they registered again. (the system was really slow...) So when we (or they) caught this, having looked at their email, they let us know, or we found it looking at the registrations. They needed refunds.

            So I went into C&P directly (this is the same day the registrations happened) and issued a credit to several people. A day or so later I started issuing the credit for the second registration through the C&P transactions screen in SF. The credits went through, I believe, in both instances. But then we started seeing the automatic closeout for registrations on levels (courses) that were not, by our calculations in the SF campaigns, FULL. And I started trying to figure out why this was. I talked to Amanda on Tuesday and she helped me create a report that contains all the registrees by registration level. (in my reports, "Registrations as C&P sees them"). Compared it with the Campaign members by Campaign ("Registrations as SF sees them"). As best I can figure out, the Credits are still getting counted in C&P as valid registrants, hence throwing off the counts that trigger the COURSE CLOSED message.

            why have I not seen this before? This is the first year we have had many accidental double registrations (new people, slow system, ack. of receipt up at very top hence not visible in laptops or ipads are all reasons). And we have slightly smaller classrooms in our new quarters, hence smaller allowed enrollments, and several new and popular courses being offered, hence greater demand. Keeping the registrations accurate is important so that we don't close out courses prematurely.

            Obviously I can compensate by increasing the allowable number of registrants. BUt I am pretty sure that this is where the problem that we've been having lies.

              Good day @briegull

              Please note that in case of Credit, the person will be still a campaign member but the count/inventory will be recalculated and adjust accordingly. We reviewed the Event you have shared: Fall 2018 and found the following:

              Total Inventory =800
              Inventory Sold =476
              Available Inventory =324

              Total Registrations =378
              Total Attendees including decline and Credited =489
              Credited =11

              Upon digging into it we found that Total Authorized Attendees inventory is 478 but it shows 476 in inventory, the 2 inventory difference you see is because it seems you have manually added/updated the inventories as per the below records.

              Level: Putin-Trump
              Level: Equality-Freedom

              In the above Levels, you may see the difference in the inventory which is not recorded in Attendee reports which shows that it has been manually added.

              Regarding the thank you message, I have forwarded this to our developers to investigate the issue.

                If you please provide us the details of the OS and browser they had this issue will help us to investigate as we unable to replicate it.

                FYI, we noticed that you are using a custom CSS which might be a cause of the issue.

                  TGIF!! I agree, it's pretty much all straightened out now. I still have a couple of snarls when people paid for each other and got their names confused (!) but straightening out names can just be done in SF. These are seniors, and not adept at computer use. The business with the blank screen in the message I think is resolved by my making the message VERY LARGE TYPE!! so I think I'm good for the moment. Let's hope so. The custom CSS was to contain the entire list of levels in one inset frame - i just made its measurement greater. Scrolling down the browser screen AND the inset was too complicated for some. Ah well, we'll have 500 registrations by the end of this weekend, I'm sure, and that is good.
