  • Autoresponder e-mail problems

    Hi,
I made a real donation to our org to see what I would receive. I got an automated receipt (good), and then two Thank You e-mails that I had set up in the Designer.

There are some problems. Reference the image below.
    1. Why did I receive 2 e-mail Thank You's from the designed template? It did have the correct Subject line that I set up for that particular auto e-mail.
    2. Even the real version of this e-mail did not insert the MailingStreet, which I typed into the C&P online form. This is a HUGE problem!
    3. I later removed the date/time in the paragraph. It would be nice to just be able to use a date without the time. The time stamp is on the top, which is sufficient, but would be nicer to not even be there. Just a date, please.
    4. I inserted a normal .jpg for the signature of our Ex Dir. Why wouldn't this show up?
    5. I told the autoresponder to attach this as a pdf to the e-mail, but it did not. I guess it doesn't matter since the donor receives a separate receipt with all the donation information. This is just a thank you. But why didn't it attach a pdf?
    6. After I made this donation and received this e-mail thank you, I went in and changed it to go out one day after a person's donation. Now it doesn't seem to be going out at all. Why would that make a difference?

    Shari,

Replies to your messages follow your questions:

    1. Why did I receive 2 e-mail Thank You's from the designed template? It did have the correct Subject line that I set up for that particular auto e-mail.

REPLY: The only way you receive 2 emails is if you either have your own email as a BCC notification email and one as the donor. You may also set the receipt email option at the Click & Pledge portal so it does not send the default receipt email.

    2. Even the real version of this e-mail did not insert the MailingStreet, which I typed into the C&P online form. This is a HUGE problem!

REPLY: When an email is created it uses the original contact record as set in the Contact Information. If the contact exists and does not have an address, the autoresponder does not know what the address is since it does not use the information from the receipt. For new contacts the billing address will be used but for existing contacts the address used in the Contact record.

    3. I later removed the date/time in the paragraph. It would be nice to just be able to use a date without the time. The time stamp is on the top, which is sufficient, but would be nicer to not even be there. Just a date, please.

REPLY: No problem- we will add this to release 7.0 - due out in February. Release 6.0 is due mid-December.

    4. I inserted a normal .jpg for the signature of our Ex Dir. Why wouldn't this show up?

REPLY: Salesforce does not serve images. The image upload was accidentally enabled in 5.10 release but will be removed in 6.0. You need to use an external site to host your images. In version 7.0 we are incorporating Salesforce sites to serve the images for both the Autoresponder and Broadcaster. For now please load your images elsewhere and use the address in your emails.

    5. I told the autoresponder to attach this as a pdf to the e-mail, but it did not. I guess it doesn't matter since the donor receives a separate receipt with all the donation information. This is just a thank you. But why didn't it attach a pdf?

REPLY: Have you checked the box for sending it? There is an upload option and a checkbox to include it with the email. Has that been checked?

    6. After I made this donation and received this e-mail thank you, I went in and changed it to go out one day after a person's donation. Now it doesn't seem to be going out at all. Why would that make a difference?

REPLY: Have you enabled the scheduler? Please see the installation instruction for the scheduler: Step 4: Instructions for setting up Autoresponder with delayed jobs

      1. Yes, you're correct. I did have myself set to receive a copy, which on my personal donation meant I got two.
      2. I currently don't have any contacts loaded into SF (still cleaning data). So every donor sits in the C&P Temporary Contact section. I don't want to make them a contact yet because I know I will be uploading their information when I import my data into SF. For now all donors become temporary contacts. Does this then mean that none of them will have a MailingStreet on the thank you e-mail? They are not Contacts in SF, nor are they a new Contact.

In the future, if there is a new donor that gets hung up in C&P Temporary Contacts, does that mean the thank you letter I designed in the Designer will not have their mailing street on it? That seems weird. I think it should always be taken from their billing address that they enter into the form, since that's probably most current anyway.

      3. Terrific!

      4. Glad it will be fixed in 7.0. Can't wait! But for now, what do you mean by using an external site to host my images? Do you have a suggestion?

      5. Oh. I checked the box, but didn't realize I had to upload my own pdf. I thought it meant the pdf would be generated from the e-mail itself, like the auto-receipt. Guess not. Okay, I'll just uncheck that box and leave it as an e-mail only thank you letter.

      6. Thanks. I thought I had enbled this, but it wasn't enabled. Now hopefully it will work.

I sent myself a test e-mail of my e-mail in Designer. Again the date is in India format (day/month/year) instead of USA format (month/day/year). Is C&P going to change that?

          Shari,

As stated before we will fix the date in release 6.0 due out ~December 15.

Sorry for bringing this to our attention.

REPLY: That is correct - since they are not contacts we have no way of retrieving their information.

In the future, if there is a new donor that gets hung up in C&P Temporary Contacts, does that mean the thank you letter I designed in the Designer will not have their mailing street on it? That seems weird. I think it should always be taken from their billing address that they enter into the form, since that's probably most current anyway.

REPLY: We battled with this feature and the biggest challenge is consistency. How can we ensure that emails go out with consistent data. That is a challenge

REPLY: You can easily create a folder in your website's folders and upload your images there. Then use that address in the autoresponder. Example: Your website: http://YourOrg.org - create a folder called Autoresponder and upload your images in that folder. This way an image called logo.jpg will have an address: http://YourOrg.org/Autoresponder/logo.jpg. In the autoresponder image upload use the URL as the image source (see below)

REPLY: Autoresponder sends a PDF attachment separate from the email. Sending the email as PDF unfortunately could not be achieved using Salesforce's PDF generator.

            6. Thanks. I thought I had enabled this, but it wasn't enabled. Now hopefully it will work.

REPLY: Glad to see it works

I'm encountering the same problem- date is in odd format. The AppExchange version is 5.10- is their a new estimate for the release of v.6.0?
