  • Passing Custom Form Fields to Salesforce

    Hi, we have a donations form that is using PaaS and trying to get all of the fields into Salesforce correctly. After a lot of research and testing it is appearing that C&P only passes the basic billing info on to Salesforce by default, correct (i.e., name, email, phone, billing address, donation amount, and some payment info)?!?

    - So do we need to setup 'custom questions' to pass along all other fields from our form (e.g., salutation, company, middle name, main non-billing address, work phone, tribute gift information, etc.)??

    - If so, will all of this extra info show up by default on the bottom of the email receipt that is sent to the client from our Advanced Checkout Page?
    For example:
    Title = Mr.
    Middle Name = Alexander
    Company = Trump Industries
    etc.

    - And then do we need to map these 'custom questions' to the proper Contact fields using Salesforce 'workflows'??


    Just trying to fully understand the process here to get a slightly more complete donation form integrated nicely with Salesforce so the Contact Records show all of the proper information in the proper places. But seeing all of the extraneous information (beyond the default fields) listed on the receipt is not the most elegant solution, especially when listed out of context.

    This feature will be in the November 15 release. It is a major feature which was to be included in Release 6.0 but was moved to 5.0 release in November because of requests from our consulting Partners.

    The new feature gives you the option to do the following 2 variations:

    Question type:

    - If a question IS "Who is your Employer?" Then insert the ANSWER in the [OBJECT] --> [Field]

    You may add unlimited number of questions and field maps


    Static text:

    If SKU IS "1234-MEMBER" THEN insert "12345" in the [OBJECT] --> [FIELD]

    I hope the above makes sense. You may add unlimited lines for each option.

      Hi, thanks for the reply. Not 100% sure I understand at which point this change will be taking place and what it will 'replace'. A little more explanation might be helpful.

      Our developer was able to get some items mapped properly using a LOT of items in an Apex trigger element. This I believe is overriding a lot of defaults with the type of mapping we are needing.

      1) Is this the 'proper' way to go about mapping the extra 'custom questions' passed from our C&P form to the corresponding Contact record fields?

      2) How will your update affect this workflow and/or make it easier?

      3) As we are passing the extra info as 'Custom Questions' in PaaS, this info is currently showing up in the customer email receipts under 'Comments & Other Info'. Is this absolutely required or is there any way to avoid this? We just now have details like: 'contact_salutation = Mr and Mrs'; 'contact_organization = Trump Industries'; listed on the bottom of the receipt email and it might be confusing or just inelegant for the customers.

        The new features offers 2 distinct features:

        1: Answers to questions may be mapped to any TEXT field in Contacts or Opportunities object
        2: Specific TEXT may be mapped to any TEXT field in Contacts or Opportunities object

        CASE 1:

        Example 1: In the payment form a custom text asks: What department are you in?

        Setting up the custom map you may update the CONTACT > Department record with the answer to the question.

        CASE 2:

        Example 2: A product is being purchased with SKU: MEM-2012-12334

        If the above product is purchased, the CONTACT should be marked as MEMBER by updating the MEMBER field with YES.

        Based on our review of all cases that we have been presented with the above 2 scenarios satisfies all conditions. Of course the moment we go live with this feature everyone will come back with cases which is not covered. Naturally that will be added in the future releases

        We are interested in hearing about your use case and if the above will be answering your specific case.

          Hi, thanks for the additional information about the updated plugin. It certainly appears that it does what would traditionally have to be done using the Apex triggers and some custom coding. I have a couple of questions, though:

          1) Will data be able to be mapped to custom contact fields in Salesforce? Our client added a LOT of custom fields to accommodate different types of information, and more may be needed for some of the specific questions on our donations form.

          2) Can default data (not 'Custom Questions') be mapped as you are showing here? We may, for instance, want to map the default billing address information to the 'alternate address' field instead of the 'primary address'.

          Thanks. If this takes the place of figuring out how to properly code Apex triggers to do all of this, I'm sure it will help a lot of people who may be less confident doing that.

            Answers to your questions:

            REPLY: YES- all TEXT fields in the CONTACT & OPPORTUNITY objects will be exposed.

            2) Can default data (not 'Custom Questions') be mapped as you are showing here? We may, for instance, want to map the default billing address information to the 'alternate address' field instead of the 'primary address'.

            REPLY: YES- if you add the billing address as a custom question. I guess in the next update we can expose all form fields so you can map it elsewhere. Something to think about!

            REPLY: The idea is to make it easy so custom APEX code is not necessary. This feature has been in the queue for a long time and is the #1 requested feature by consultants. Hope it works for you.

                I have a "drop down menu" custom field that I need to map to a field on the Opportunity object.

                Is there a way, I can achieve transferring the data in the custom field on to a field on the Opportunity Object?

                  Aliraza,

                  A form that posts to Salesforce sends a single value so the fact that it is a drop down menu makes no difference.

                  What you need to do is POST a transaction to Salesforce and review C&P Data to see the format that the question has been posted. The XML shows the exact question.

                  Using that exact question use the custom question mapping to map it to the Opportunity record.

                  Hope that makes sense. If you are still having issues let us know & we can do screen sharing to review your instance. By the way we also just release version 6.0 (January 7, 2013) and you may want to update to this latest release. The announcement has not yet been posted to the forum.

                        Sorry for missing this post. I just realized that this post has not been answered.

                        Custom Question mapping provides you with the feature you need. In version 6.0 the "Custom Question Mapping" gives you the option to post the answer to any STRING field in the Contact & Opportunity.

                        We will be adding more data types in the future releases but in release 6.x the only supported field type is STRING.

                          Can you pass a value from *one* custom question on a form to *multiple* fields in Salesforce by creating multiple lines in the Custom Question settings tab?

                            Yes- that is can be done. We simply start from the top and move to the bottom following the questions and doing as instructed. So potentially you can overwrite the field over and over again.

                              Hi,

                              My question is less regarding overwriting a single field in Salesforce, but rather taking the answer to one custom question on a form and mapping it to both a field on opportunity and then to a field on contact. Can you confirm this is doable via the Custom Settings tab?
