  • How to remove a card on file for a contact

    Hi there,

We have a contact who asked us to remove their credit card information. Is there a simple way to do that? (I'm guessing it's disconnecting them from all applicable C&P Transaction records, which is a little less than ideal in this case..). The situation we want to avoid is having them at an event in the future where they may be checking out with a volunteer who pulls them up in the Virtual Terminal, and then the volunteer says "Oh, we have your card on file, would you like to charge it to the card ending in...?"

    Thanks for your help!

    Hi jillifoss,
Would disabling the ability for the Salesforce User (in this case, the volunteer user) to use Card on File work in your use case? Or would it only be useful if you can disable it for a specific Contact?

You can disable "Card on File" for the Virtual Terminal in general. Once version 10 is released, shoppers for the e-commerce store will have an option to save their payment method or not when they make a purchase.

We're discussing internally to see if there may be another approach. I will get back to you tomorrow with any updates.

      jillifoss,

After discussion, there's no way to prevent the card on file option in the current release.
One of the sticking points is that there is no way for that Contact to set up a recurring donation if there is no 'Card on File' . You wouldn't be able to issue credit on their transaction or resolve a dispute.

Perhaps the patron is under the impression that the actual credit card data is being stored? This is not the case. The card information is converted to a token via an encrypted algorithm. Once the information has been entered into the form and submitted - there is no way to 'look up' the credit card number again. There is no way for the nonprofit to get hacked and credit card information stolen.

We do comply with GDPR, the rules that came out from the EU that there had to be an ability to remove an individual's information from the system. You can purge a Contact in CONNECT. This removes any transactions, personal information, associated with a specific email address. But this does cause the same problem - there's no way to resolve a dispute on the transaction, issue a credit, etc.
Seems like overkill if you also need to maintain information for them to attend an event.

We discussed some additional ways to address this for version 10, but it introduces some challenges.
One approach could be to have a checkbox that would 'hide' the card on file for a specific Contact so that the 'Card on File' wouldn't be available for that Contact record. The information would still exist, the nonprofit staff would not see the Card on File option for that Contact.

If the concern is that someone on the nonprofit's internal staff might make an unauthorized purchase, then another approach might be to limit the ability to load Cards on File based on the Salesforce user login, but that would then apply to all transactions, not just the ones for that individual patron. But the token would still exist, it just wouldn't be available to the VT user.

I hope one of these explanations is sufficient to ease the patron's concern. We'd like to hear which approach you think might work best in this case.

        Thanks Amanda.

I think they were feeling frustrated about the situation and asked for their card information to be deleted from the system from a place of emotion.

They generally use the card-on-file option quite frequently, so we wouldn't be interested in disabling it for all contacts. I think we may just clear the Contact and Account on their C&P Transactions, so it won't show up in the Salesforce Virtual Terminal (I recognize it still will be available in Connect, but we don't use that VT much).

That information you shared is all very helpful, thank you. I'll reach out to the organization to see how they want to proceed.

        Thanks again!
