  • Two Salesforce Opportunities created when Additional Fee option is active

    I just discovered the Additional Fee opt-in and activated it for a campaign. When someone contributes and opts in, their gift generates two Opportunities in Salesforce, one for the primary donation amount and one for the additional fee. While the two are aggregated together in the C&P Order, it's odd that they are separated among Opportunities. Additionally, the Additional Fee opportunity does not get tied to a Salesforce Campaign; only the primary donation does.

    We're grateful that C&P sends a single autoresponder for the whole contribution. Is it possible to tell Salesforce to generate a single opportunity, too?

    Please note that the "Additional Fee" coming in Salesforce is not an optional opportunity but a separate line item resulting in a separate opportunity, by design. Given it has its own SKU it allows you to map to any of your Campaigns in Salesforce.

    However, if you want a single opportunity then you need to enable Opportunity Product (which is not recommended) When Opportunity > Product is enabled a change occurs in the way we handle posted items. Not many organizations use it since Opportunity > Products has its own little nuances.

    When you use Opportunity alone, each item in the basket will become each own opportunity. When you use Opportunity > Product a single opportunity will be created and all items become Products under that single opportunity.

      I've experienced Opportunity Products before and I already know I don't want to turn them on. Can you please offer an alternative approach that you don't discourage? How can I get the additional fee to be tacked onto the starting donation amount and be treated as a single gift? There must be a way. Must I use a Salesforce automation to accomplish this? Have no other customers asked for this before?

      Also, what is the SKU of the fee? At least then I can control what campaign it gets.

        As far as another option, there is likely a way, but it's all about understanding how your data is organized and how to get it to look the way you want.

        You want the additional fee to be tacked onto the starting donation amount so that it is treated as a single gift. Could you define more specifically why? So that your Contact "Number of Gifts" field is accurate? Where is the extra Opportunity throwing off your numbers? So that you can have a single row for each transaction on a report?

        Just about everything in Salesforce is doable - but you have to understand what you need to do to get the result you want.

          Thanks for working with me on this. The source of the inquiry is that we have a workflow rule that triggers an email when a new opportunity is created by C&P. Currently the rule criteria are C&P Opportunity Type = Item; Amount > 0.

          Currently, when a donation comes in and the donor opts to pay the additional fee, two opportunities are generated and this triggers two separate emails. I imagine if I simply change the first criterion to C&P SKU, I can probably simplify the workflow. Ideally, though, I'd like to direct the recipient to a single opportunity that aggregates the whole gift.

          I think I would also add a custom field on Opportunity that indicates the additional fee was paid. Still, for clean data, I want one opportunity instead of two. To your point about Number of Gifts, that seems like a reasonable request, too.

            Why not trigger your workflow when a C&P Transaction record is created instead? It has all the transaction information, rather than amount, you can include 'Total Charged'. Then only one email would be sent.

            This is really a data hierarchy issue - you need to have a data block that represents all things related to the transaction, and another data block that represents all things unique to the item within the transaction. C&P's integration with Salesforce manages this by creating a transaction record, and lets the Opportunity respresent the line item. It comes in very handy when you need to run an Opportunity report that sees the Membership, t-shirt, and donation made in the same transaction as needing separate codes for Quickbooks. There are as many, or more, arguments for setting the Opportunity as the item with a parent transaction record as there are for defining the Opportunity as the Transaction with a sub-object for the line items.

            To the Salesforce platform - both sets of data are the same, they are objects related to other objects. It was Click &Pledge's unfortunate luck that NPSP followed a path of promoting the Opportunity as the transaction, long after Payment as a Service had been thoroughly structured the way it is, due to requests from customers at the time. Those customers needed the Opportunity to serve as the item to facilitate their accounting needs. We have made many changes so our product still works smoothly with NPSP.

            As far as handling the rollups that are inherent to NPSP, you can exclude the extra records using their customizable rollups: by SKU, by whether or not there's an Order Number - the best approach depends on how your data is structured in Salesforce.

            What you want is coming, but not until the release of version 10. Hopefully this post helps explain why - this change is fundamental to the app's infrastructure. There is still no date set for the release of version 10.
