  • Additional fees

If you setup additional fee to be included in a donation or purchase, is there a setting that allows you to keep the entire opportunity (donation + additional fee) together instead of separating the donation into one opportunity and the additional fee into another opportunity?

  • #2
    Good day @ctugwell

NO, it is not possible to include the additional fee with the donation amount. It will create separate opportunity for Additional Fee.

This is a very necessary feature, and I would like to see this option also. We do not want two separate Opportunities created every time someone pays fees; we want a single Opportunity. Our finance department sees the full amount as a donation, because it is! We want a single Opportunity with a single GAU (though I can imagine a case where some orgs might like to set it up to split the GAU).

Two Opportunities will create a ton of clutter and take up so much more storage space. Please consider offering us the option to make it just one, thanks.

Is this still the case? We agree that it is necessary to have the fee and donation as one Opportunity.

I will add to this that in Salesforce, this messes up our rollups. The Total # of Gifts will be 2 instead of 1 for every Opportunity where someone opts to pay the fees. That's really bad news for those of us who rely on accurate reports based on those fields!

Hello, I am wondering about this also. It looks like C&P has made some progress in addressing this problem, because in the screenshot I include here there are settings to specify our preferences around separating the Opportunity if we wish. That's great!

However, our transactions are splitting the donation and transaction fees, and also including $0 transactions. In some cases, I have three Opportunities associated with one donation! You can see in the screenshot, my settings indicate we do NOT want them separated. Can you please help? We want only one transaction when someone donates, not two or three.

I have granted you access and our Org ID is: 00D41000002khk3
We probably also need an update, so please feel free to do that as well. Thanks!

Sure!We don't ever want the donations split up, and we don't ever want $0 donations. Thanks for your help.

                    Good day @Quimper

We reviewed and noticed that the above transactions are recurring and has been processed from Gravity Forms. We found that your form is passing TWO items for the Other Amount which is the reason you see TWO opportunities which include $0. In order to fix this, you need to follow form settings listed in the manual which will exclude the Other as an item:
                    https://manual.clickandpledge.com/Gravity-Forms.html#Handling_Donations_when_the_option_“Oth er”_is_selected

Regarding TWO opportunities which include Transaction Fee is expected behavior. Please note that as of now in Gravity Forms there is NO option to pass it as Transaction Fee in item details hence it is passing transaction fee as an item to Salesforce and as expected it is creating two opportunities.

                    Hope that explains.
                    Regards,

Hello, I reached out to Gravity Forms to find out if there is a way to fix why their forms create two separate Opportunities when a donor opts to pay the transaction fee. They say this has nothing to do with them because they have no integration with either C&P or with Salesforce. The creation of two Opportunities appears to be a function of the C&P plugin. Can you confirm this? Is there any solution at all that will combine the Opportunities into one while still using a Gravity Form? Any plans to improve upon the plugin or advice for a workaround? thank you!

                        Good day @Quimper

As stated, in order to prevent TWO opportunities you need to use the logic as shown in the manual to prevent Gravity Forms to send two items in case of Other Amount selected.

Regarding TWO opportunities which include Transaction Fee, as of now in Gravity Forms there is NO option to pass it as Transaction Fee in Item details which is the reason it is sending it to Salesforce as TWO items hence it is creating TWO opportunities. I have forwarded this to our developers to see the possibilities to include the Transaction Fee in Item Details in upcoming releases.

Is this still an open issue where the Donation and the Additional Fee are in Salesforce as two separate transactions?

This is causing major issues specifically around bookkeeping. The last time C&P Support commented looks like 5-3-2018. Please update. Thank you.

                              • Donation and Additional Fee will continue to be separate Opportunities. Many people use it with this configuration in order to code the donation and the amount separately for accounting purposes.
                                • To prevent this from messing up your rollup # of gifts, consider using NPSP Customizable Rollups to exclude the Additional Fee opportunities. Naturally you would want to continue to rollup the amount of both.
                              NPSP Documentation:
                              1. Customizable Rollups Overview
                              2. TRAILHEAD: Enable Customizable Rollups
                              1. If your finance team needs to see the transaction total to know the specific donation, create a formula field and pull the value from the parent transaction for your reports. There's not even a formula to prepare, you only need to add the related field. Formula fields do not count against your storage total.
                              Salesforce Documentation:
                              TRAILHEAD: Create Formula Fields

You could also remove the 'Additional Fee' option from your form. Whatever total the form submits to the bank, whether it's just a donation or a donation with a fee added to help cover the cost of the transaction- the total is what the fee is calculated on. We cannot provide you a way to do part of the transaction that is not included in the fee calculation, since part of the fee is based on percent
                              • $0 transactions - If you notice in the screenshot posted on 4/25, there is an option in C&P Settings > Opportunity to prevent $0 transactions from creating Opportunities. Check the "Except if Amount=0" box.

                              Regarding storage:
From a data standpoint, there is naturally an object representing the transaction as a whole, and there is naturally a related object reprseenting each line item on the transaction. It would not make a difference if you used C&P transactions to represent transactions and Opportunities to represent line items or if you choose to use the Opportunity to represent the transaction and NPSP Payments or GAUs to represent line items- it would take up the same amount of storage.

I often suggest for new implementations that they plan to record all their donations/transactions using C&P - use online forms externally, and record transactions by check or cash as custom payments in Virtual Terminal. Then set up your reporting at the data level you need. You can still take advantage of many of the additional recording options that NPSP offers, you just have to shift your concept that Opportunities MUST represent the total transaction.
