  • Help with Bank Reconciliation

    Hi,

I am wondering what is the best way to get help tracking down Bank Reconciliation questions.

During the Seattle GiveBIG event we have C&P transactions for the dates 5/6 through 5/9 showing a total that is $25 more than the total our bank is showing for the corresponding dates 5/8 through 5/12.

We have one individual who gave $25 on 5/7 (C&P Order #1405070015518475325) and then on 5/8 gave $50 (C&P Order#1405070015518475325) where he left a comment thanking us for letting him re-enter their donation for the correct amount. They intended to make a gift of $50 rather than $25. I am wondering if this change of $25 is some how the discrepancy. However, I don't understand how this individual might have corrected their gift amounts. Might they have had their Credit Card company some how make a change that wouldn't show up in C&P?

Thanks for your help and ideas on this reconciliation.

    Good day Charlie,

First things first - the credit card companies cannot change the amount and it has to be done through us. So the card holder cannot change the amount.

Our records show that you have credited Order #: 1405070015518475325 so that should not appear in your account.

As for the second order number you provided it appears to be the same order number as the first one. I think you copied it again by mistake.

I located the second transaction and it was done on May 8 for $50. That transaction should have deposited.

Is this not what you are seeing in the reports?

Good day and thank you for the reply.

Sorry about the wrong transaction numbers but I think you found them both: credit for $25 5/7: 1405070015518475325 and credit for $50 on 5/8: 1405082028577595325.

I'm shooting in the dark here as to why our Bank Shows deposits over this 3 day period that is $25 less than what the reports from the C&P portal show. ($0 before and after as we are just starting with C&P). Since our bank only shows lump sum totals per day I'm trying to learn how to reconcile this difference. I thought perhaps the above mentioned Orders might be the answer as the individual made a comment on the 5/8 order about "changing" is donation amount by $25, but we don't see that change any where. As you point out they can't "change" an order and I don't see a debit order so there may be another discrepancy I'm missing.

If you look at our combined C&P account transaction's for 5/6 - 5/9 do you also see 67,295.11? These are only the Approved transactions during that time. Our bank shows deposits of 62,270.11 over the corresponding period (5/8 - 5/12).

OK I see now looking at the Authorization Status in the Portal detail report that one of these transactions is "Credited" and the other "Settled". (Do you have a listing of the terms used for this Status field and what they mean?)

Where is this information displayed in Salesforce? Perhaps the question is, how is a "credit" transaction created and what information gets pushed to Salesforce.

          Good day!

We don't currently post Credits to Salesforce. This is a feature that will be included in release 9 scheduled for end of Summer.

Glad to see that the numbers match.
