  • Requiring email and state/province in Virtual Terminal?

    We're are at a conference in Europe right now trying to use the virtual terminal. We are running into two problems. One, is that it is requiring us to enter the email of the donor. Even if the donor is already in the system and we load their information. If their email is not in their record, we can't add it in the virtual terminal and we can process the transaction. Secondly, we get an error if the state/province isn't filled in. Since we are in Europe, that is causing a problem, since most donors don't have either. So, we have to add something into that field to process the transaction. How can we get around these problems?

    Email is NOT required if you are not sending email. The system will NOT let you process if you have selected the checkbox for sending the receipt - see below:

    Contact information can only be edited through the Contact record and not the VT. If you wish to update the Contact please update it using the Contact record first and then process through the Virtual Terminal. This is a security feature to protect the Contact information from being updated by unauthorized users that may not have access to the Contact tab.

    State / Province: If you are not synching the country & state then the State/Province is optional. I just did a test transaction with only name and no email or State Province & it worked perfectly as designed. See below:

    If you are synching the country & state then a state for the selected country has to be selected.

    What is the error you are getting?

      are you using the Virtual Terminal in the Portal or in Salesforce?

        I'm using the VT in Salesforce. How do I not sync state and country? Lastly, the individual donor record doesn't require the first name. But, the virtual terminal does. That's causing us the problem for anonymous donations. We set the last name to anonymous. It doesn't work in the virtual terminal.

          Good day @DGoodkin:

          Please note that you are authorizing credit cards and the banks require that information. We have to have the person's name - with credit cards you cannot have anonymous payments - you may choose to delete their name or assign a fake name but the bank may decline the card. I hope you see the implications.

          State / Province are required if you are synching the database. If you wish to remove the synch go to C&P Settings > Country & State tab > and reset the database. This will delete the country & state database and make these fields as open text boxes which may be skipped. Check the following KB article: http://forums.clickandpledge.com/con...ies-and-States

            We're not always using the Virtual Terminal to process credit cards. We use it to take cash donations and log them into the database. We use the Custom Payment Type and put 'cash' in the Name field. That's why we want to be able to put anonymous or just someone's last name.

              I am interesting in knowing how you think this should be done.

              How do you think we should handle the contact to whom this payment should be associated with? Naturally in Salesforce all actions have to end up with a Contact.

              how do you treat this?

                Add an Individual record with the last name only. If the last name matches a record that has an empty first name, then the donation can be added under that record. For example, if the last name is Anonymous and the first name is blank, search to see if there is a match. In our case, there would be a match. You would just add a donation record under the Anonymous record. Does that make sense?

                On another note, that is sort of related. In our custom donation form, you guys added a field for organization name. We wanted that so we could create an Organization record for companies that donate, vs creating an Individual record for individual donors. At the time you didn't have the ability to create an Organization Record when that field was filled in. Is there a way to do that now? SalesForce does not make it easy to convert an individual record to an organization record. We're going to run into this a lot with the year-end fundraising season fast approaching. A field could be added for the donor to select individual or organization and then the appropriate fields are displayed and then you know which record to create. We're going to do this with our other donation service.
