  • Best practices for cash/check entry with unique internal notification?

    Looking for recommendations about best practices to accomplish my goal of having a volunteer do data entry of donations from a locked-down user profile.

    I created a volunteer profile in Connect so a person can use the virtual terminal to enter all of our cash and check donations. At this time, only credit card transactions go through C&P, and our finance office manually enters every C&P transaction into Quickbooks based on the email notifications they receive. If we start generating identical notifications that only indicate cash+check at the bottom of the receipt, I worry these will create confusion for the finance folks. I want the cash/check notifications to look different for them.

    Right now, we have C&P set up with just three Campaigns. I think if I create three identical ones that are for the use of cash+check payments only and then set a unique Internal Notification Subject line flagged with "CASH/CHECK C&P Donation" to aid our finance office, this should do the trick. Is this the best way to go about it?

    Yes, you are correct. Since the receipt associated with the Campaign will fire, you may create three identical campaign and assign the respective receipt to each of them. While processing the transaction from VT, select the respective Campaign.

      Thanks, I've been working on this and hope you can help me troubleshoot why it's not working. To recap, I've created a locked-down volunteer profile in Connect with access to only the Virtual Terminal. I cloned a Campaign to be used exclusively for cash/check donation, which should feed directly into Salesforce, creating both the Contact and the Opportunity. I logged in to that profile and entered two donations. The problem: it creates the Contact in Salesforce, but not the Opportunity (though I can see the detail for it in Salesforce under C&P Data for the Transaction).

      Can you tell me why it won't create the Opportunity and how to fix it?

      Also, is it possible to have one C&P Campaign with different line items that will charge different Salesforce Campaigns, or is one C&P Campaign unique to one Salesforce Campaign (e.g. can someone give $50 to scholarships and $50 to programs in one $100 donation, and have it assign each item to its respective SF Campaign?).

          Feel free to update us; is this something I'm supposed to know how to do? How do I know if there's an update and how do I do it myself?

          I did set up SKU Mapping, but the two donations I'm referring to didn't map correctly (to the membership campaign) so I think I've done something wrong. I've never fully understood how SKUs+mapping works or what the difference is between Connect settings and Salesforce C&P settings, so I'm sure I'm missing something. Can you tell what it is?

          The two check donations I entered into the Connect VT, and which did not create Opportunities, are from these donors:
          1. Jeanne Boyer, order number 24101-180403173316704
          2. David Sherman, order number 1703311750346068278
          I did also go into the transaction in Connect and clicked Post to Salesforce. But nothing happened.

            And for the second order#1703311750346068278, I see there is an opportunity created as expected and I see NO mapping with the respective SKU.

              The screenshot is very helpful, thank you! I checked that Custom Payment Type box and went into Connect>Transactions>Post to Salesforce for those two transactions, and neither one created a new Opportunity, so it looks like I'll have to do those over. However, it did work when I created a new test transaction, so I think that part is fixed!

              As you pointed out, our SKU mapping was unsuccessful. Is there a troubleshooting guide for this? We finally discovered a way to make it map correctly, but only by duplicating everything that appears in C&P Settings>Custom Mapping exactly the same way in C&P Settings>Virtual Terminal and also under Customize Name in C&P Settings>Opportunity. Pretty much any place that lists an SKU, we add all the same information. We doubt this is the way it's supposed to be done, but it worked, and we cannot find resources that make the differences very clear. If you have suggestions, we'd appreciate it!

              A related question: How do we map the Payment Method in Connect to the actual Payment Method field in Salesforce? Does every Payment Method also need a unique SKU? If so, where do we create the SKUs for Credit Card, Cash and Check, so the Payment Method field will map correctly? thanks!

                You NO need to duplicate it anywhere, the mapping will work if the condition satisfies. C&P Settings >> Virtual Terminal is to set the default settings for C&P Virtual Terminal: http://help.clickandpledge.com/custo...ticles/1164715

                As of now, there is no way to map the payment methods nor define the SKU to it.
